Addendum to Acceptable Use Policy (AUP) 2020
Online/Distance Learning
- For the purpose of online distance learning, we in Nagle-Rice Primary School, are using Office 365/Microsoft Teams as a learning platform that complies with GDPR and the Data Protection Acts 1988 up to 2018.
- Microsoft will act as the data processor for Nagle-Rice Primary school’s data.
- Parental consent must be received prior to using the platform.
- Live recording and screenshots are strictly prohibited.
- Only school emails assigned to staff and pupils will be used (…….@naglericens.com) for online distance learning.
- Data should not be stored on unencrypted or unsecured devices.
- School staff who hold copies of personal data on their personal computers or mobile device should ensure that those devices are secure.
- Staff, parents and students will be reminded of Child Safeguarding procedures, Acceptable Use Policy and Code of Behaviour when using online distance learning.
- The school IT administrator will archive files using an SDS on an agreed date at the end of the school year. These files will be archived for as long as required by the DES.
- Pupils are not permitted to set up Teams or meetings. Chats and messages should not be sent between pupils using this platform. Communication should only be with their teacher.
- Students will not send or receive any material that is illegal, obscene, defamatory or that is intended to annoy or intimidate another person.
- Students will not reveal their own or other people’s personal details, such as addresses or telephone numbers or pictures.
- Microsoft Teams is for school work only.
- Students will never arrange a face to face meeting with someone.
- Students will note that sending and receiving email attachments is subject to permission from their teacher.
- Pupils should not use their @naglericens.com email address to be in touch with each other socially or informally within school hours or outside of school hours.
- If teams is being used at home to complete school work, parents/guardians will be responsible for access to Teams and for the appropriate use of Teams at home by the pupil.
- If the school email address or any aspect of the Teams package is used to write something abusive about another person or to mock any person or to speak of them in a negative way, this will be viewed as Cyberbullying and the policy for Bullying and Cyberbullying will be implemented to deal with this misbehaviour.
Microsoft Teams live sessions
- In line with our Child Safeguarding Statement & Child Protection procedures a parent must be present with their child for live sessions on Teams.
- Students will only meet online on Teams with the Class Teacher/Principal.
- The teacher always invites the students to the call and acts as the host. If a co-host function is available on the chosen platform, this should be disabled for students.
- Teachers must turn on the necessary security settings before allowing students to join the call e.g. Pre-set the video meeting to mute participants’ microphone automatically upon entry, chat feature, waiting room, etc. where applicable
- The teacher will agree protocols in advance with the students, e.g. using the chat feature for questions, raising hands if they wish to ask a question, asking students to mute mics at the beginning of a lesson in order to improve sound quality.
- Pupil microphones will remain muted other than when a teacher requests for pupils to unmute to allow for questions/discussion.
- Pupils need to be on time for the live session or they may be locked out. Please ensure pupils join five minutes before the scheduled time.
- Pupils are advised that the best practice when participating requires the following;
- Ensure that the background visible for the video call is appropriate and does not contain personal aspects. Anything unsuitable should be removed from the background setting. (e.g. bedrooms or rooms with lots of photos should be avoided)
- Appropriately dressed.
- Same “class rules” will apply when interacting with all present at the live session.
- The teacher is always the last to leave the online meeting to ensure that pupils/students can’t re-join the room afterwards.
- The teacher will maintain a log of calls and a record of attendance as you would do in general practice
- The live session is a virtual classroom and the same school behaviour and codes of conduct apply to this environment.
- Audio or visual recording of a live lesson is NOT permitted by either the teacher or the students. This is to respect the personal data of all, both teachers and pupils, who participate in each virtual live session.
- Participants will be reminded that no recording (or screenshots) of any part of the video session should be made by any means. The recording and onwards sharing of personal data would be unlawful as well as a contravention of the school’s policies.
NOTE:
It is important to note that any breach of the above guidelines will result in a discontinuation of this method of communication. A breach may also result in a pupil being immediately removed from the live session or the session being immediately terminated.
